Soumya Technologies ("Company," "we," "us," or "our"), registered in Mumbai, Maharashtra, India, operates the website weighz.com (the "Site") and develops and licenses the Weighz weighbridge software (the "Software"). This Privacy Policy explains how we collect, use, disclose, and protect information when you visit our Site, purchase a license, or use the Software.
1. Information We Collect
1.1 Information You Provide to Us
When you purchase a Weighz license, request a demo, contact support, or sign up for updates, we may collect:
- Name, company name, business address, email address, and phone number
- Billing and invoicing details (name, address, GSTIN/VAT/tax ID where applicable)
- License activation details (hardware device ID used solely to bind your license key)
- Support correspondence, including screenshots or log files you voluntarily share for troubleshooting
1.2 Payment Information
All payments for Weighz licenses are processed by third-party, PCI-DSS-compliant payment gateways (such as Razorpay, Stripe, or PayPal). We do not collect, store, or have access to your full card number, CVV, or banking credentials. These are entered directly on the payment gateway's secure page and governed by that gateway's own privacy policy.
1.3 Information Collected Automatically
When you visit our Site, we may automatically collect:
- IP address, browser type, device type, operating system
- Pages visited, referring URLs, and time spent on the Site
- Cookies and similar technologies for analytics and site functionality (see Section 6)
1.4 Software Usage Data
Offline-First Architecture: Weighz is an offline-first, locally installed desktop application. Transaction data (vehicle weights, operator records) is stored in a local SQL Server database on your own infrastructure. We do not remotely collect, transmit, or access your transactional business data. Limited technical data (license key validity, activation status, software version) may be checked against our licensing server to enforce the license terms described in our End-User License Agreement (EULA).
2. How We Use Your Information
We use collected information to:
- Process license purchases, generate invoices, and deliver license keys
- Activate, validate, and support your Software installation
- Respond to support requests and provide technical assistance
- Send license renewal notices, product updates, and (with consent) marketing communications
- Detect and prevent license misuse, fraud, or unauthorized duplication as described in our EULA
- Comply with tax, accounting, and legal obligations in India and applicable export jurisdictions
- Improve our Site, product documentation, and customer experience
3. Legal Basis for Processing (GDPR / UK GDPR, where applicable)
For customers in the European Economic Area or United Kingdom, we process personal data on the basis of: performance of a contract (license sale and support), legitimate business interests (fraud prevention, product improvement), consent (marketing communications), and legal obligation (tax/invoicing records).
4. How We Share Your Information
We do not sell your personal information. We share information only with:
- Payment gateways (Razorpay, Stripe, PayPal, or similar) to process transactions
- Cloud/email service providers used for invoicing, support ticketing, and communications
- Government or regulatory authorities, where required by law, tax regulation, or valid legal process
- Successors, in the event of a merger, acquisition, or sale of business assets, subject to equivalent privacy protections
We do not share data with third parties for their own independent marketing purposes.
5. Data Retention
We retain customer account, licensing, and billing records for as long as necessary to fulfil the license term, satisfy tax/accounting retention requirements under Indian law (typically up to 8 years for financial records), and resolve disputes. You may request deletion of non-mandatory personal data by contacting us (Section 9).
6. Cookies and Analytics
Our Site may use cookies and analytics tools (e.g., Google Analytics or internal telemetry) to understand visitor behavior and improve content. You can control or disable cookies through your browser settings; disabling cookies may affect Site functionality.
7. Data Security
We implement reasonable administrative, technical, and physical safeguards to protect information, including encrypted transmission (HTTPS/TLS) for our Site and licensing server, and access controls on internal systems. However, no method of transmission or storage is 100% secure, and we cannot guarantee absolute security.
Customer Database Responsibility: As stated in our EULA, security and backup of your local weighbridge database remains your responsibility as the Software operates on your own infrastructure.
8. International Data Transfers
As we serve customers globally, including in the UAE, GCC, and Western markets, your information may be processed in India or in the country where our service providers (payment gateways, hosting, email) operate. We take steps to ensure such transfers are subject to appropriate safeguards.
9. Your Rights
Depending on your jurisdiction, you may have the right to access, correct, delete, or restrict processing of your personal data, and to object to or withdraw consent for marketing. To exercise these rights, contact us at support@weighz.com. We will respond within a reasonable timeframe, generally within 30 days.
10. Children's Privacy
Weighz is a B2B industrial software product. Our Site and Software are not directed at, and we do not knowingly collect information from, individuals under 18 years of age.
11. Changes to This Policy
We may update this Privacy Policy periodically. Material changes will be posted on this page with a revised "Last Updated" date. Continued use of the Site or Software after changes constitutes acceptance of the revised policy.
